Shared Services Administration Assistant

To administer the day to day processes that deliver effective customer service to our clients and to provide quality support to all HETAS departments.

KEY RESULT AREAS

  • To provide customer service and full administrative support to all HETAS departments in an efficient and positive way to all stakeholders
  • To effectively deal with communications by various means

MAIN DUTIES

  • To undertake administrative tasks supporting all areas of the business.
  • Effectively utilise the database and Microsoft Office software packages including Word, basic Excel, Outlook etc. to support administrative processes.
  • Support others internally and externally in delivering the aims of HETAS
  • To promote HETAS schemes and services via sales activities whenever possible
  • To prioritise workload to maximise the benefits to our customers
  • Suggest improvements to the database and schemes where possible
  • Provide Business Management information from the database and registers
  • Possibility of travel to exhibitions with the HETAS team to help promote HETAS schemes and services

Woodsure | Wood Schemes Laboratory Testing and Admin Assistant to HETAS

To support the wood fuel schemes and activities of Woodsure and HETAS. Conduct Laboratory testing of wood samples and subsequently administer the results. Co-ordinate the relevant feedback to the applicant for all wood schemes.  To assist with applications to the Woodsure schemes. To administer the BSL registrations. Liaison with other related personnel to maximise efficiency in the department. General administration support for HETAS.

KEY RESULT AREAS

  • To organise wood fuel testing stage of applications and annual audits, ensuring accurate reporting of outcomes to the applicant and Woodsure staff.
  • To organise auditing service for the BSL contract ensuring accurate reporting of outcomes to the applicant and the Gemserv reporting system
  • To carry out accurate feedback to Scheme Managers and registrants
  • To ensure that fuel scheme testing and reporting is carried out in a timely and professional manner, representing the values of HETAS, Woodsure, BSL and other major stakeholders

MAIN DUTIES

  • To co-ordinate the schedule for laboratory testing
  • To co-ordinate the schedule for BSL desktop audits and for external BSL auditor visits
  • To prepare the relevant paperwork/forms/spreadsheets
  • To prepare samples and undertake timed testing for all Wood Schemes
  • To produce accurate recordings of outcomes
  • To follow up results with feedback to relevant registrants/applicants
  • Contribute to team meetings to review and develop processes to improve efficiencies
  • Effectively utilise the database, CRM and Microsoft Office software packages including Word, basic Excel, Outlook and other Scheme software.
  • To assess evidence of actions following audit (getting technical input where required from auditors or managers) to ensure swift “sign off”
  • Support others internally and externally in delivering the aims of the Schemes
  • To prioritise workload to maximise the benefits to our customers
  • Provide Business Management information from the databases and registers

To undertake other duties or projects as required under direction from HETAS/Scheme Managers.
