REGISTRATIONS SUPPORT OFFICER

FIXED TERM FOR 12 MONTHS, FULL TIME             

HETAS have a fantastic opportunity for a Registration Support Officer to join our friendly team.  This role will be based at our office in Tewkesbury, although we will continue to work in line with government guidelines. Whilst this is fixed term role to cover maternity leave, you will be joining our Registrations Support team at an exciting time of growth for the business and there is plenty of opportunity for development within the role and the wider team. The ideal candidate will have a passion for delivering excellent customer service and will be a true team player, demonstrating a proactive and flexible work approach.

ROLE

This role sits within our Registrations team, reporting to the Registration Manager.  The primary function is to provide comprehensive support across scheme registration activities for Woodsure and HETAS. You will be responsible for the co-ordination and administration of registrations and renewals whilst delivering a first-class customer service to our internal and external customers.  Main responsibilities include, but are not limited to:  

– To undertake administrative and certification tasks supporting all areas of the business.

– Process appropriate certification documentation for all applications and renewals:

– Office duties/clerical processes

– Application processes in line with Scheme requirements for applications

– Apply all relevant standards and how they can be met

– Make recommendations and forward to the Decision Maker

– Carrying out a recommendation, assessment, and evaluations on behalf of the certification schemes.

– Effectively utilise the database and Microsoft Office software packages including Word, Excel, Outlook etc. to support administrative processes.

– To promote Schemes and services via sales activities whenever possible

– To prioritise workload to maximise the benefits to our customers

– Suggest improvements to the database and schemes where possible

– Liaise directly with all registration applicants, registrants in all aspects of their application and renewals

SKILLS, KNOWLEDGE, EXPERIENCE

– Previous experience of working in a busy office environment

– Excellent administration skills

– Experience of working in a customer focussed environment

– Good time management skills and an ability to prioritise workload

– Good IT skills, including MS Office and experience of using other internal databases

– Clear and concise communication skills, with an ability to liaise with a variety of stakeholders

– A team player!

CREDIT CONTROL ADMINISTRATOR

PERMANENT, FULL TIME

Due to continued growth, HETAS have a new opportunity for a Credit Control Administrator to join their Accounts Department.  This role will be based at our office in Tewkesbury on a full-time basis, although we continue to work in line with government guidelines. You will be joining the team at an exciting time of growth and change so there is plenty of opportunity for development within the role and the wider team. The ideal candidate will possess a clear and confident telephone manner with an ability to work effectively as part of a team, demonstrating a proactive and flexible work approach.

ROLE

This role sits within our Accounts team, reporting to the Head of Finance.  The primary function is to chase outstanding payments in line with company policy whilst supporting a range of administrative duties within the department.  Main responsibilities include, but are not limited to:  

– Credit control in line with our Debt Collection procedure.

– Taking payments and processing appropriately on the CRM, Direct Debit System, Card payments

– Regularly review debt level with Head of Finance.

– To raise sales invoices and credit notes as required on an ad-hoc basis and regular invoice batch runs in line with deadlines

– To support the accounting activity of the organisation in an accurate, efficient, and effective manner

– To use accounting software for accounting duties and effectively utilise the database, Microsoft Office software packages including Word, Excel, Outlook to support administrative processes.

– To prioritise tasks to ensure daily/weekly/monthly deadlines are met

– Support others internally and externally in delivering the aims of HETAS and provide excellent customer service

– To promote HETAS schemes and services via positive projection whenever possible

SKILLS, KNOWLEDGE, EXPERIENCE

– Previous experience of providing a high standard of customer service skills

– Experience and/or training of managing difficult conversations

– Good IT skills, including MS Office, Dynamics CRM, and experience of using other internal databases

– Good time management skills and an ability to prioritise workload

– Organised and methodical
